What data we collect

Your name and surname — needed to personalize your artwork and process your order
Your email address — for order confirmations, tracking, and (if you consent) our newsletter
Your delivery address — essential for shipping your artwork
Your phone number — optional, collected only if you provide it for delivery coordination
Photos of your prints — submitted by you for artwork creation
Personalization details — names, dates, and messages you want included in your artwork
Payment details — processed securely by our payment provider. We do not store card data directly.

Your print photos & videos — how we handle them

Our commitment to you The print photos and video clips you share with us are precious — they capture real moments with babies, children, pets, and loved ones. We treat them with the care and privacy they deserve.

How your print photos are used:

Solely used to trace and create your personalised foil artwork
Stored securely in our internal systems during the production period only
Permanently deleted from all our systems within 30 days of your artwork being dispatched
Never shared with third parties, advertisers, or marketing companies
Never used for any purpose other than creating your order, unless you explicitly consent otherwise
On request, we can retain a copy for up to 12 months to facilitate a potential repeat or gift order — please ask us by email

How your video clips are used (if submitted):

When you upload an optional video clip of your capture moment via our upload portal, you are shown a clear consent checkbox. This consent is entirely voluntary. Here is what each option means:

If you do NOT tick the consent box: Your video is received by us, used only to understand the capture context if needed, and permanently deleted within 30 days of artwork dispatch. It will never be shared, published, or used in any marketing.
If you DO tick the consent box: You permit Thousim Studio to use your video clip on social media channels (Instagram, Facebook, TikTok) and our website for the purpose of inspiring other customers. Your video may be cropped, trimmed, or subtitled. You may withdraw this consent at any time by emailing thousimstudio@gmail.com — we will remove the content from our channels within 14 days of your request.
Social media content is retained for up to 2 years from the date of first publication, after which it is removed from our archives. You may request earlier removal at any time.
We will never reveal your full name, address, or order details alongside any published content without your explicit additional consent.

We take the confidentiality and privacy of all submitted images and videos very seriously. If you have any concerns or wish to request deletion at any time, please email thousimstudio@gmail.com and we will act within 72 hours.

How long we keep your data

Order data: Retained for 5 years to comply with Polish tax and legal record-keeping obligations
Email marketing data: Kept until you unsubscribe from our newsletter
Print photos: Permanently deleted within 30 days of artwork dispatch. On request only, retained for up to 12 months for repeat order purposes.
Video clips (no consent): Permanently deleted within 30 days of artwork dispatch
Video clips (social media consent given): Retained for up to 2 years from first publication date. Deletable on request within 14 days.

Your rights under GDPR

As a resident of the EU or doing business with an EU-based company, you have rights under the General Data Protection Regulation. You have the right to:

Access: Request a copy of all data we hold about you
Rectification: Correct any inaccurate data
Erasure: Request deletion of your data ("right to be forgotten")
